BRIEF STATEMENT OF THE PURPOSE OF THIS POSITION

 

The FMLA Administrator will oversee and administer leave requests and accommodations under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), certain state and local leave laws, and short-term and long-term disability plans. The individual in this position will assist in the overall development and operations of this functional service area.  Responsibilities include monitoring and improving processes of the FMLA/Leave Administration support team, building processes based on best practices and business goals, and measuring the efficiency of systems and procedures.  A successful FMLA Administrator will have great research, process development, and communication skills across all levels.

 

 

PRIMARY RESPONSIBILITIES OF THIS POSITION

 

Essential job duties for this position include the following items. Other duties must be performed as assigned or required.

  • Implements and supports FMLA/Leave Administration customers
  • Handles the FMLA leave administration process from the Leave of Absence request process after the employee's initial notice of need for leave is provided until the case has been completed. This includes generating and sending all required paperwork, determining eligibility, designation of leave, requesting and gathering medical certification as needed, as well as tracking and working with customer to manage the leave from start to finish.
  • Maintains reasonable communication with customers and their employees on leave to facilitate smooth and timely return to work.
  • Ensures that employees are aware of their responsibilities and of any documentation and notices required to qualify for and take leave.
  • Maintains complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices.
  • Maintains knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and other federal, state, and local leave laws.
  • Assists in coordination and management of new organizational objectives, projects, tools, and functionality
  • Monitors daily operations, manages process flows, ensures appropriate coverage, and addresses potential issues when they arise
  • Improves processes based on business objectives and ensures compliance
  • Finds ways to increase quality of customer service and support
  • Undertakes ongoing projects to better understand the demands, priorities, and pain points in order to better support our clients and operations of overall functional service area

 

 

 

EDUCATION AND EXPERIENCE NEEDED FOR THIS POSITION

 

  • Bachelors degree in Human Resources or related field preferred.
  • Two years of human resource experience required.
  • Completion of specialized certification or training on FMLA/leave administration a plus.

 

 

 

SKILLS AND QUALIFICATIONS REQUIRED FOR THIS POSITION

 

  • Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable laws
  • Ability to multitask, manage time effectively with great attention to detail and accuracy
  • Excellent written and verbal communication skills
  • Excellent analytical and problem-solving skills
  • Proficient in Microsoft Office Suite and demonstrated ability to learn and maximize HRIS software
  • Strong oral and written communication skills
  • Ability to effectively present information in written, verbal, and in-person formats.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to apply critical thinking as well as common sense understanding to carry out instructions furnished in written or oral form
  • Possession of key competencies, including conflict management, business negotiation, organization, and decision-making

 

PHYSICAL DEMANDS AND WORK ENVIRONMENT

Normal working conditions require normal to close concentration, visual attention, manual dexterity, sitting at a desk and working on a computer.  Lifting requirements less than 10 pounds. Moderate noise.
